General Description
The Application Administrator provides key application administration, support and training for CAPA’s technology platforms including our student enrollment and operational management system, and our learning management system.  In addition, this position will help to source, configureand support other third-party applications to meet business needs.

The Application Administrator will work closely with the Vice President of Global Program Services to develop operational workflows and documentation; train
users;  and  coordinate  and  execute upgrades. This role requires strong business skills and will consult with users to identify and improve business  processes  and  operating  procedures. Major  systems  of  responsibility  include  but  are  not limited to Salesforce (CRM), CANVAS (LMS), and Office 365 applications. 

This role will report to the Vice President of Global Program Services with a dotted line to the Manager of Global IT Operations.

Key Responsibilities
  • Perform Application Administrator duties for assigned applications (such as user creation and permissions setting).
  • Manage support ticketing system for assigned applications ensuring solid communication and expectations on completion of work are set and met.
  • Work with VP to assist with installation of new applications and/or upgrades. Investigate and resolve application functionality issues and provide support and troubleshooting for multiple applications.
  • Serve as a liaison with local and international vendors to address and resolve systems issues.
  • Ensure that system administration duties are performed within budget parameters when third-party providers are required for support.
  • Assist  in  the  creation  of  system  design  and  functional  specifications, including  integrations among multiple systems, to meet the needs across all business functions.
  • Create training documentation and videos to demonstrate effective use of application systems to support essential business functions across all departments.
  • Ensure that license and service agreements and security certificates related  to  assigned applications are acquired, executed, and renewed.
  • Conduct maintenance during off-hours as required.

Qualifications
Required:
  • Bachelor’s degree (business systems, computer science, information technology, or related field preferred).
  • 2+years’experience in application/systems administration.
  • Ability to communicate clearly and effectively in verbal and written formats with technical and business staff.
  • Excellent organizational, time management and project management skills.
  • Ability to effectively and appropriately prioritize competing needsto meet deadlines.
  • Exceptional analytical skills.
  • Excellent attention to detail.

This is a full-time position. Standard hours are 9:00AM to 5:30PM, Monday to Friday. Weekend and evening work is sometimes required, and flexibility with hours is essential. Fall Marketing Intern - Fall 2017 term

General Description
CAPA is seeking a 10 month, part-time (25 hours per week maximum) Marketing Intern who will be supporting the day-to-day activities of a creative, fast-paced marketing department. This Marketing Intern is enthusiastic and detail-oriented, supporting working closely with the team to deliver a broad range of projects that are on brand, on target, and on strategy. The Marketing Intern is responsible for monitoring trafficking projects and keeping the team organized to meet deadlines. Additionally, he/she acts as back-up support to aid the team with content marketing efforts in HubSpot (an automated inbound marketing platform), including creating landing pages, CTAs, email templates, and social media and blog posts. The Marketing Intern is a key contributor to the creative process because through research, he/she follows current trends and keeps the team informed. Reports to the Inbound Marketing Strategist in Boston.

Key Responsibilities
  • Assist in the creation of print and web Marketing content - drafting emails, ads, and other collateral for students and institutional partners
  • Conduct online research for various projects such as downloadable content and blog creation
  • Aid Marketing team in the coordination of event logistics including conferences, workshops, symposia, tradeshows, study abroad fairs, etc.
  • Maintain library of marketing materials/collateral (online database and physical) 
  • Place purchase orders for images, print collateral, giveaway items with outside Marketing vendors, following up as necessary to meet project deadlines
  • Help update CAPA’s website – uploading and editing content and ensuring the website it up-to-date 
  • Prepare bulk shipments of marketing materials 
  • Support the marketing department as needed with various ad hoc tasks as assigned


Qualifications
Required:

  • Exceptional verbal and written communication skills, including copy-writing abilities  
    Strong organization skills and impeccable attention to detail
  • Demonstrated ability to successfully juggle multiple projects simultaneously and work under tight deadlines
  • Basic experience with updating website, blog, etc.

Institutional Relations Manager

General Description
The Institutional Relations Manager (IRM) is a sales role focused on business development as well as maintaining and growing existing institutional partner relationships within a region designated by CAPA. We are seeking IRMs to cover a variety of territories, ideally based in Boston or within driving distance of a large concentration of universities such as the preferred areas of Atlanta, Chicago and Dallas/Austin. Remote work arrangements within these specific regions will
be considered.

The IRM will work with CAPA’s current partners to approve CAPA programs, recruit students to CAPA programs, and to develop custom and partnership programs at our CAPA centers. The IRM will also be responsible for cultivating new institutional partners and helping institutions build a learning abroad strategy for their faculty and students with CAPA.

The ideal candidate will be a target-driven strategic thinker who is self-motivated but also able to collaborate and function as a productive team member across departments. This position reports to the Vice President of Institutional Relations and Admissions.

Key Responsibilities
  • Consult with U.S. colleges and universities to create partnership and affiliate agreements with CAPA through our global city programs, institutes, and seminars.
  • Create customized program opportunities with institutions at our Global City center locations, utilizing extensive knowledge and expertise in academics, internships, service-learning, and student services.
  • Support our partner institutions including occasionally attending their study abroad fairs and related university events to promote CAPA’s programs and institutional services.
  • Develop, establish, and maintain relationships with study abroad professionals, administrators, and faculty at our partner institutions.
  • Attend and present papers and sessions at national and regional conferences.
  • Work in conjunction with multiple departments within CAPA, both domestic and international, to support our current partnerships and to look for opportunities to generate new ones.
  • Assist  partners by guiding their program development efforts, supporting recruitment, communicating CAPA updates, handling special requests, and providing creative solutions to complex programming.
  • Travel domestically 25-40% of the year, depending on peak seasons. 

Qualifications
Required:

  • Proven track record of success in sales arena, consistently exceeding targets
  • Exceptional communication and relationship-building skills
  • High level of competitive drive, self-motivation, enthusiasm, and flexibility
  • Strong customer service orientation
  • Knowledge of contact management systems, ideally Salesforce

Global Cities Program Advisor

General Description
As a CAPA Global Cities Program Advisor, you will act as the primary pre-departure contact for 300–400 students enrolling on CAPA’s programs annually. You will also provide recruitment, enrollment, and advising support to CAPA’s partnering college and university study abroad administrators who send groups of students on CAPA’s programs worldwide. Student support will be individualize and consider each student’s needs in preparation for the program. ProgramAdvisors are also involved in the development of advising tools and content that are inclusive of and accessible to the diverse needs of all students.

Key Responsibilities

  • CAPA Global Cities enrollment process.
  • Ensure all student applications are complete and in line with admissions requirements
  • Advise students on visa requirements and the visa application process.
  • Provide a high level of individual support to our students throughout the enrollment and pre-departure process through different modes of communication.
  • Maintain timeline of communication to ensure students are on track with all aspects of pre-departure process.
    Build and maintain university specific online application portals.
  • Collaborate  with the CAPA marketing department to develop accessible and inclusive program/university specific marketing materials, customized websites, and collateral.
  • Work in partnership with the CAPA Institutional Relations team to monitor partnering institutions enrollment numbers and provide feedback on where additional recruitment support and campus visits may be useful to reach enrollment targets.
  • Manage relationships and communication with the study abroad administrators at partnering colleges and universities on topics including student enrollments, advising questions and concerns, and student issues that arise while a student is on a CAPA Program.
  • Manage program related concerns that arise from students, university administrators and the parents of participants.
  • Work with other members of the pre-departure services team to update, develop, and create new program advising materials as necessary.
  • Develop advising tools and materials that are culturally sensitive and considerate to individual
    student identity.
  • Provide emergency support to callers on the emergency mobile (weekly rotation).
  • Hold scheduled meetings with the overseas coordinators to discuss and receive updates on student applicants and relevant services such as housing, academics and internships.
  • Work closely with the student accounts department to review group and individual payment activity.
    Provide oversight of program budgets and manage in tandem with international teams.

Qualifications

General Description
The internship division organizes and monitors more than 700 placements at the London center while overseeing the development and quality assurance of internships at CAPA centers worldwide. CAPA is one of the leading and most respected organizations for internships abroad. A CAPA internship (work placement) is a unique opportunity for U.S. students to gain a competitive edge by getting hands-on experience in one of the world’s leading cities. Internships can be in any field, depending on the student’s career and academic interests.

Key Responsibilities

  • To research, develop and monitor internship  sites/work placements for our students at organizations and businesses throughout London.
  • To work directly with businesses and organizations to help them understand the benefits of a CAPA intern and to educate them on their responsibilities in regards to the placement.
  • To assist with the arrival and orientation of incoming  interns, provide follow-up supervision and act as an  on-site advisor for issues relating to student  internships. A high level of customer service is required.
  • To  liaise with our U.S. administration office during  pre-departure and create thorough and accurate pre-departure information for students.
  • To maintain intern and site databases to a high level of accuracy.
  • To attend CAPA events such as arrival and departure parties, mid-term dinners and special CAPA events.
  • To assist with other administrative tasks within the office and across departments as required.
  • This role will also be cross -trained to be able to assist the department of student affairs at busy times; this would involve further student care and advising as well as administration.
  • To carry an emergency mobile phone outside  of  office hours on a one-week basis approximately every 6 weeks in rotation with other members of staff. Full training and back up resources will be provided.


Qualifications
Required:

  • Bachelor’s degree
  • Minimum three year’s work experience
  • Excellent customer services skills
  • A high level of professionalism and comfort working with key people in businesses across London
  • Networking skills
  • Ability to cold call prospective internship sites and develop a rapport
