General Description
Based in London, the chief function of the Student Affairs Assistant is to ensure the smooth running of the front desk / reception area and to assist CAPA students with any questions. The position also supports the advising and program services teams with all student service provisions, programme logistics and the facilities of the study centre. This is a great entry level role for anyone interested in gaining experience in the exciting and rewarding field of international education.

Key Responsibilities
Student Support

  • Operating the reception desk and providing general office support (to include answering the phone, taking messages, greeting visitors etc)
  • Assisting students and faculty with questions such as travel advice, local area information, suggestions on what to do in London as well as programme specific questions
  • Assisting with events such as arrival and departure parties, mid-term dinners and other social activities
  • Assisting with airport transfers, walking tours and orientations
  • Overseeing all financial transactions at reception including stipends, ticket sales and travel sales and any other events that require payment by students
  • Preparing orientation packs, trip packs and other written materials for students
  • On occasion, acting as tour escort on trips or events (usually weekends or evenings)
  • Referring students to appropriate staff members or external assistance where appropriate

Faculty and Staff Support

  • Assisting the advising and program services teams in the organisation, marketing and sales of trips and events
  • Updating the office calendar as necessary to keep track of staff whereabouts
  • Ensuring equipment in faculty lounge and classrooms is working correctly, help faculty with / demonstrate classroom equipment as necessary
  • Assisting CAPA staff as needed with photocopying and other administrative tasks and projects
  • Assisting with student data management, applications and enrolments

Facilities

  • Ensuring the Centre is ready for the day’s students, including completing opening checklist for entire building (when on opening shift)
  • Closing the centre and ensuring cleaners have specific instructions as necessary, and completing closing checklist for entire building (when on closing shift)
  • As a key member of the Facilities Team, taking responsibility for the overall appearance of CAPA London centre, including classrooms, reception area, front of building, faculty office and computer lab
  • Assisting with the supplies inventory, ordering stationery and ensuring the tidiness of stationery cupboard

Other

  • Participate in weekly cross-departmental meetings focusing on program updates, scheduling and staffing.

Qualifications

Required:

  • Excellent customer services skills and a passion for working with people
  • Strong attention to detail and superior organisational skills
  • Problem solving skills
  • Ability to stay calm under pressure and handle difficult situations
  • Ability to work well independently as well as across departments
  • A high level of proficiency in computer software, particularly Microsoft Office (including Word and Excel)
  • Familiarity with databases (particularly Microsoft Access)
  • Basic level of technical ability with computer and audio/visual equipment
  • Flexibility in terms of working hours and job description
  • The legal right to work in the UK

Preferred:

  • Prior experience, especially in working with students
  • Knowledge of the US education system

Hours

The number of working hours will be 7.5 hours per day, 5 days a week, hours will typically be either 08:00 – 16:30 or 11:30 – 20:00. This position is expected to work all bank holidays that the centre is open but this time would be given in lieu on another day.
