General Description
The Director of Human Resources and Administration is responsible for leading the people operations and core HR and administrative functions of the company across eight locations. Both strategic and hands-on, this role reports to the President/CEO and works closely with all departments throughout the organization to provide consultative support on all aspects of HR, including organizational culture, structure, engagement, training and development, compensation, benefits, payroll, policies and procedures, talent management, staffing and recruitment, and HRIS technology. The ideal candidate will be an exceptional HR senior manager with a proven track record of success to lead and drive HR strategy in our fast-paced, high-growth, global environment. This position is based in Boston, Massachusetts.
 
Essential Duties and Responsibilities
  • Lead the HR and headquarters administration function, providing strategic direction and practical support to Boston-based staff as well as to remote staff based in eight international centers with the expectation that the number of international centers will grow in the future.
  • Work closely with leadership throughout the organization to develop and translate CAPA’s strategic business plans into operational plans, implementing innovative policies, programs and practices that align with company goals and support a dynamic, results-oriented culture.
  • Direct goal setting and performance management, setting performance and accountability standards and KPIs, and identifying and implementing individual and organizational training and development programs.
  • Design and implement talent management and leadership development programs, ensuring internal bench strength and succession planning.
  • Develop and implement progressive and proactive compensation programs to provide motivation, incentives and rewards for effective performance and to ensure internal equity and external competitiveness.
  • Consult, coach and guide managers and employees on HR policies, practices and procedures; review existing HR policies and practices and make recommendations to promote organizational consistency and legal compliance regarding federal, state and applicable international regulations.
  • Manage and resolve employee relations issues in a manner consistent with company culture, policies, business needs, and domestic and international laws.
  • Develop staffing strategies and practices to effectively identify, recruit, onboard, and retain talent within and outside of the organization in a competitive marketplace.
  • Manage HR information systems and deliver HR analysis, reports and metrics to executive leadership to ensure effective HR management and to optimize company decision-making.
  • Working closely with the Finance team, oversee the administration of payroll services (e.g. global payroll processing, payments to insurers and 401k and pension providers, etc.).
  • Annually evaluate and renew benefit designs and plans, negotiating with external vendors to achieve high-quality, cost-effective solutions.
  • Manage other areas such as employee communication, crisis management, and health and safety.
  • Organize company events and social outings for the Boston office; chair and contribute to committees in the planning and implementation of large staff events in overseas locations.
  • Manage the budget and other financial measures of the HR Department.
  • Manage a team of three people and plan for continual improvement of the efficiency and efficacy of the group as well as provide individuals with professional and personal growth and opportunities where possible.
  • Develop programs to encourage applicants and employees of all backgrounds and to foster a sense of global community to ensure a respectful, inclusive workplace.

Qualifications

Required:
  • Bachelor’s degree required, preferably in human resource management, business, organizational development, or related field
  • Minimum of 10 years of HR experience with at least 5 years of management experience at a progressive and growing company
  • Demonstrated HR functional knowledge to guide and support the development of HR strategies that will attract, develop and retain talent to drive the organization’s business goals and objectives
  • Exceptional written and verbal communication skills
  • Excellent interpersonal skills with ability to develop strong working relationships across all levels and functional areas
  • Strong customer-service orientation and problem-solving skills
  • Solid organization and project management skills with ability to effectively administer and prioritize multiple HR activities, programs and processes

General Description

The Institutional Relations Manager (IRM) is a sales role responsible for business development as well as for maintaining and growing existing institutional partner relationships within a region designated by CAPA. We are seeking candidates based in multiple locations, including the MidAtlantic and Midwest Regions of the US. If outside of Massachusetts, a remote work arrangement is required.

In addition to cultivating new relationships with universities and colleges, the IRM works with CAPA’s current partners to develop new business streams by approving new CAPA programs, developing custom programs, and increasing student enrollments.

The ideal candidate will be a target-driven strategic thinker who is highly self-motivated and able to collaborate and function as a productive team member across departments. This position reports to the Regional Manager of Institutional Relations.

Key Responsibilities
  • Assess business opportunities, establish goals, and take ownership for growth within your assigned region.
  • Develop and manage strategies to exceed growth targets.
  • Consult with U.S. universities and colleges to develop strategic partnerships to allow their students to access CAPA’s study and intern abroad programs.
  • Develop customized program opportunities with institutions in CAPA locations, utilizing extensive knowledge of best practices and expertise in academics, internships, and student services.
  • Attend study abroad fairs and related university events to generate leads to hit enrollment targets.

General Description
CAPA is seeking an Office and Human Resources Assistant to serve as the first point of contact for its global headquarters in Boston and to provide diverse administrative support for all general activities affecting the corporate office and the Human Resources Department. Under the supervision of the Vice President of Human Resources, this role identifies ways to support and improve office and HR operations to maintain a highly professional, efficient, and healthy office environment. The ideal candidate enjoys working both independently and collaboratively with people in a fast-paced environment with the flexibility to move quickly and effectively between tasks. This is an entry-level, full-time position enabling the right person to launch an exciting career in international education, human resources, or other business-related fields.
 

Key Responsibilities

General office support:
  • Supports main office administration and reception, maintaining the overall office appearance and providing a welcoming, well-functioning environment for employees and visitors
  • Answers the main business phone line, greets guests at the front desk, and coordinates visitors, routing people to the appropriate person or area
  • Distributes mail to all departments, accepting daily deliveries and assisting the Marketing and Sales departments with large shipments on occasion
  • Monitors and maintains inventory of office and kitchen supplies
  • Coordinates with IT to maintain office equipment including scheduling repairs and preventive maintenance with outside vendors
  • Maintains CAPA facilities, serving as the point person for office keys/fobs, recycling, maintenance issues (security alarms, kitchen appliances, carpet cleaning, etc.), and projects liaising with building property management

HR support:

  • Maintains the company’s HR platform, including creating basic content and updating employee profiles, company phone lists, and organizational charts
  • Assists with recruiting and hiring processes, including posting job vacancies on the CAPA website and various job boards, maintaining files; scheduling candidate interviews, and contacting applicants as needed
  • Supports general onboarding activities, updating new employee orientation materials, scheduling CAPA onboarding sessions, collecting relevant documents, and conducting office tours
  • Supports HR with the general administration of company benefits, including answering staff inquiries, escalating to HR team members as necessary, and assisting with data entry and basic reports
  • Facilitates general office communications for internal audiences, keeping staff informed of relevant company events and news relating to birthdays, anniversaries, and other staff announcements
  • Assists the HR team in preparing internal documents, letters, presentations, collecting and researching supporting materials as necessary
  • Assists with the planning and logistics for training programs and other HR and special office events

General Description

As a CAPA Program Manager, you will act as the primary pre-departure contact for students enrolling on CAPA’s programs. You will also provide recruitment, enrollment, and advising support to CAPA’s partnering college and university study abroad administrators who send groups of students on CAPA programs worldwide. You will work closely with program developers and on-site staff to communicate about contracted services and program details. You will assist in facilitating contracted program components within the parameters of the established budget. You will work closely with visiting faculty leading customized programs on all aspects of the program including the management of their own and their student’s expectations about the program experience

Key Responsibilities

Conversion Management

  • Manage relationships and communication with the study abroad administrators and visiting faculty on topics including recruitment strategy, student enrollments, advising questions and concerns, and student issues that arise while a student is on a CAPA Program.
  • Work in partnership with the CAPA Institutional Relations team and Student Admissions team to monitor partnering institutions enrollment numbers and provide feedback on where additional recruitment support and campus visits may be useful to reach and exceed targeted enrollment numbers per term
  • Collaborate with the CAPA marketing department to develop and maintain program/university specific marketing materials, customized websites, lead generating communication plans and other collateral.
  • Guide prospective students from partnering colleges and universities through program enrollment process.
  • Ensure all necessary program materials are complete and ensure each student meets the required program admissions requirements.
  • Build and maintain university specific online application portals.

Pre-Departure Advising

  • Provide guidance and support on the international internship application process for programs that include this experiential component.
  • Advise students on visa requirements and the visa application process.
  • Provide a high level of customer service support to our students, answering any pre-departure questions they might have via phone and email to prepare them for their time abroad.
  • Establish and maintain pre-departure communication plan and timeline for all students admitted on customized programs as well as faculty leading programs.
  • Manage program related concerns that arise from students, university administrators and the parents of participants.
  • Work with other members of the pre-departure services team to update, develop, and create new program advising materials as necessary.
  • Hold scheduled meetings with the overseas coordinators to discuss and receive updates on student applicants and relevant services such as housing, academics, and internships.

Crisis Management

  • Manage relationships and communication with the study abroad administrators at partnering colleges and universities on topics including overseas crises, and student issues that arise while a student is on a CAPA Program.
  • Provide emergency support to callers on the emergency mobile (weekly rotation).
  • Participate in annual crisis management and emotional first aid training.

Finance Support

  • Work closely with finance department to confirm individual student payments and communicate any nuances to billing process.
  • Provide students with necessary information related to financial aid and financial resources that are available to students to help them pay for their program costs.
  • Work closely with the student accounts department to review group and individual payment activity.
  • Provide oversight of program budgets and manage in tandem with international teams.

Recruitment Support

  • During high lead volume periods program managers will assist with lead follow up by phone and email.
  • The person who will be assuming the program manager position will spend the first six months supporting the recruitment team with student lead follow up in addition to training on the program management role for which a full transition will take place in January 2020.

CAPA seeks a leader to deliver excellence and the highest standards of best practice in learning abroad in all areas of academic affairs and administration for the organization. The Chief Academic Officer is a key member of the executive team who will oversee academic programming and will develop and manage faculty in ensuring strong academic results and positive personal and professional development for all students. Additionally, this individual will define strategy, and will facilitate and communicate integrated plans for business development and growth in all areas across the organization, including expansion plans. The Chief Academic Officer will reside in London and will report to the President/CEO in our Boston headquarters.

Key Responsibilities

Academic Management and Curriculum Design

  • Oversee CAPA’s academic standards and student learning outcomes across the organization
  • Oversee the global academic management team in matters of performance and KPIs, curriculum development, programming, academic advising, faculty management, and quality evaluation
  • Align CAPA’s strategy for curriculum design and development with future growth plans to ensure our courses and products are positioned to achieve the organizations expected revenue and enrollment growth
  • Support faculty in establishing, prioritizing and implementing programs that are aligned to CAPA’s mission
  • Provide regular, actionable feedback on instructional leaders; provide professional development opportunities that are aligned to organizational goals and responsive to individual needs
  • Build strategies to further develop CAPA’s globally networked platform to reach new institutions and markets
  • Promote CAPA’s globally networked learning objectives, optimizing the use of technology via CANVAS/LMS
  • Serve as the CAPA liaison with the Academic Advisory Board and oversee all external reviews
  • Serve as Chair, Curriculum Committee and Chair, Enrollment Management Committee
  • Represent CAPA’s academic strategy on college and university campuses in the US and abroad; lead and host site visits and workshops from prospective and current partners from US institutions, presenting the mission and benefits of CAPA programs in all locations to senior decision makers
  • Travel to conferences and US institutions to facilitate the fulfillment of partnership agreements, including agreements with local universities, as well as universities based in the US to build CAPA’s institutional network. This will generally be 25% of the time.
  • Responsible for the quality assurance strategy and for educational oversight with the Quality Assurance Agency, including regular review and implementation of the action plan (course evaluations, faculty self-assessment, peer review, and QAA reporting)
  • Set and manage substantial budgets associated with curriculum, instruction, and student activities/supplies
  • Ensure all registrar and copyright compliance requirements are managed appropriately across the academic affairs team
  • Manage all School of Record (SOR) and Library of Record (LOR) strategy, relationships and agreements for the organization
  • Drive international academic initiatives, including along with academic leadership from other CAPA centers worldwide
  • Prepare departmental reports for the Executive Team, the Board of Advisors, and the Academic Advisory Board as required
  • Proactively manage a variety of special projects, maintain deadlines, and track and report progress
  • Foster a supportive and positive culture while ensuring accountability

Academic Leadership

  • Collaborate with the President/CEO to ensure academic vision is aligned with expected growth of the organization
  • Monitor and evaluate the effectiveness of academic programs through a newly established evaluation system
  • Design and implement the organization’s academic priorities and goals in collaboration with the Global Academic Management Team
  • Provide leadership and support on adopting research-proven pedagogy and standards-based instructional practices

Assessment and Data Strategy

  • Review data with faculty to identify strengths, growth areas and corresponding action plans based on formal and informal assessments
  • Ensure student data is analyzed regularly and is used to inform lesson planning
  • Lead the process for administering assessments and disseminating assessment results to management and staff

Academic Internships

  • Assume line management of the Vice President of Global Internships. The Chief Academic Officer has oversight of global internships provision and connections to internship curriculum.

London Centre Management

  • Provide executive senior leadership to all departments within the London centre, ensuring collaboration and a seamless, high-quality experience for students and visiting faculty
  • In collaboration with the Vice President of Global Operations, will support London based crises and student disciplinary issues as required; will also provide input to develop and implement policies and standard operating procedures for the London centre
  • Act as a key member of CAPA’s crisis management team, contributing to the regular review and updating of our response policies
  • Serve as a member of relevant committees (e.g., disabilities, orientation planning committees)
  • Collaborate closely with the US pre-departure team to ensure clear communications and a quality experience for students throughout their pre-departure and overseas experience

Skills and Experience

Hours of Work

General Description

CAPA is one of the leading and most respected organizations for internships abroad. A CAPA internship (work placement) is a unique opportunity for American students to gain a  competitive edge by getting hands-on experience in one of the world’s leading cities. The internship division organizes and monitors more than 700 placements at the London Centre while overseeing the development and quality assurance of internships at CAPA Centres worldwide. As an Internships Coordinator, you will act as the primary contact for internship
services and for students interning with professional businesses in London.

Key Responsibilities

Internship Services: 

  • Research, develop and monitor internship sites/work placements for our students at organizations and businesses throughout London
  • Work directly with businesses and organizations to help them understand the benefits of a CAPA intern and to educate them on their responsibilities in regards to the placement
  • Assist with the arrival and orientation of incoming  interns, provide follow-up supervision and act as an on-site advisor for issues relating to student internships. A high level of customer service is required
  • Liaise with our US administration office during pre-departure and create thorough and accurate  predeparture information for students
  • Maintain intern and site databases to a high level of accuracy
  • Attend CAPA events such as arrival and departure parties, mid-term dinners and special CAPA events
  • Assist with other administrative tasks within the office and across departments as required
  • This role will also be cross trained to be able to assist the department of student affairs at busy times; this would involve further student care and advising as well as administration
  • Carry an emergency mobile phone outside of office hours on a one-week basis; approximately every 6 weeks in rotation with other members of staff. (Full training and back up resources will be provided.) 

Qualifications

Required:

  • Bachelor’s degree
  • Minimum three year’s work experience
  • Excellent customer services skills
  • A high level of professionalism and comfort working with key people and businesses across London
  • Networking skills
  • Ability to cold call prospective internship sites and develop a rapport
  • Research skills to find new internship sites
  • Strong attention to detail
  • The ability to work well independently as well as across departments
  • A high level of proficiency in computer software particularly Microsoft Office, Word and Excel
  • An aptitude for working with databases or CRM systems
  • Flexibility in terms of working hours and job description
  • The legal right to work in the UK. (Please note CAPA will only consider candidates with the established legal right to work in the UK.)

Preferred:

  • Experience working with students
  • Knowledge of the US education system

Hours of Work

This is a full-time role. Standard hours are 9:00 AM to 17:30 PM, Monday to Friday. Due to the nature of the study abroad field, additional time beyond regular office hours is to be expected in this role.
