General Description
The primary focus of the Custom Program Developer is to support the Institutional Relations team by developing time-sensitive and accurate budgets, proposals, and contracts. The Developer should also serve as a resource, consulting to provide insight and guidance into what program inclusions and structure will help the institution achieve their stated goals and optimize the program for success with student recruitment. This position is based in Boston, Massachusetts.
 
Essential Duties and Responsibilities
  • Collaborate with the Director, Custom Programs & Strategic Partnerships and Institutional Relations Managers to create unique learning abroad programs with CAPA through custom and faculty-led programming opportunities. Problem solve and provide creative solutions to complex programming requirements.
  • Develop and deliver timely and accurate budgets, proposals, and contracts for CAPA’s study abroad programs, utilizing internal financial systems, templates, and Salesforce/CRM.
  • Accurately manage proposal and contract execution. Respond to university requests for proposals (RFPs) in a timely and efficient manner.
  • Review and evaluate client requested proposal and contract changes and bring special requests to the attention of senior leadership.
  • Assess contracts for completeness and accuracy; correct documents and file changes to contracts as needed.
  • Manage partnership agreements, including affiliation agreements and special pricing agreements. Collaborate with Institutional Relations Managers to ensure accuracy.
  • Work in conjunction with multiple departments within CAPA, both domestic and international, to support our current partnerships. Collaborate with overseas teams to develop unique ideas for discipline specific programs and confirm accurate descriptions of deliverables in contracts.
  • Accurately update budget database and collaborate with finance on budget outputs.
  • Assist with representing CAPA at study abroad fairs to talk with students about CAPA program opportunities; some travel required during Fall and Spring terms.

Qualifications
 
Required
  • Exceptional communication and relationship-building skills

  • Experience and knowledge of contact management systems, ideally Salesforce

  • Strong written, verbal, and presentation skills
  • Good working knowledge of Microsoft Office programs, specifically Excel
  • Hold driver license and be comfortable with driving

Preferred

  • 3 years of sales, negotiation or program development experience
  • Experience completing projects with remote and internationally located colleagues
  • Experience of developing and reviewing contracts and contract renewals
  • Finance /accounting background
Hours of Work

This is a full-time position. Standard work schedule is 37.5 hours per week, 9:00 to 5:30, Monday to Friday. Due to the nature of this role and the study abroad field, additional time beyond regular office hours and weekends are to be expected.

General Description

CAPA is currently seeking an Academic Services Advisor to provide administrative support within the Academic Management Team (AMT) based in London. This position will report to the Associate Director for Academic Affairs in London. This is a fixed-term (6 months), part-time position, 3 days per week.
 
Essential Duties and Responsibilities
  • Provide high-quality academic advising to all students, especially those requiring additional support or special learning accommodations
  • Promote and administer student awards
  • Serve as primary administrator of local registry functions, including course registration, add/drop advising, and associated reporting
  • Maintain class attendance records and liaise with Student Services Advisor regarding absences due to illness
  • Facilitate student focus groups and other feedback forums
  • Prepare CAPA’s learning management system, CANVAS, for each term and provide support to students and faculty requiring assistance with CANVAS
  • Regularly review syllabi and CANVAS pages to ensure CAPA is not in breach of copyright law and prepare annual report for the Copyright Licensing Agency
  • Organise hospitality for academic site visits, including visits with CAPA’s Academic Advisory Board, and the Quality Assurance Agency for Higher Education
  • Undertake other tasks to support the AMT as required

Qualifications

  • A Bachelor’s degree in relevant field
  • Excellent organizational skills and attention to detail
  • Ability to work independently, whilst simultaneously working as a part of a team
  • Excellent interpersonal skills
  • Ability to multi-task and work well under pressure
  • A high level of proficiency in computer software particularly Microsoft Office, Word and Excel, as well as Salesforce and CANVAS
  • Solid working knowledge of educational technology is preferred
  • The established legal right to work in the UK

Hours of Work

This is a fixed-term (6 months), part-time position, 3 days per week. Standard hours are 09:00 to 17:30, Monday to Friday.  Due to the nature of the study abroad field, additional time beyond regular office hours and work on weekends and bank holidays is to be expected in this role.

CAPA is one of the leading and most respected organisations for internships abroad. A CAPA internship is a unique opportunity for American students to gain a competitive edge by getting hands-on experience in one of the world’s leading cities. The internship division organizes and monitors hundreds of placements at the Sydney Centre each year. As an Internships Coordinator, you will act as the primary contact for internship services and for students interning with professional businesses across Sydney.

Key Responsibilities

Internship Services:

  • Research, develop and monitor internship sites/work placements for our students at organizations and businesses throughout Sydney
  • Work directly with businesses and organizations to help them understand the benefits of a CAPA intern and to educate them on their responsibilities regarding the placement
  • Assist with the arrival and orientation of incoming interns, provide follow-up supervision and act as an on-site advisor for issues relating to student internships. A high level of customer service is required
  • Liaise with our US administration office during pre-departure and create thorough and accurate pre-departure information for students
  • Maintain intern and site databases to a high level of accuracy
  • Attend CAPA events such as arrival and departure parties, mid-term dinners and special CAPA events
  • Assist with other administrative tasks within the office and across departments as required
  • This role will also be cross trained to be able to assist the department of student affairs and academics at busy times; this would involve further student care and advising as well as administration
  • Carry an emergency mobile phone outside of office hours on a rotational basis with other members of staff. (Full training and back up resources will be provided.)

Qualifications

Required:

  • Bachelor’s degree
  • Minimum three year’s work experience
  • Excellent customer services skills
  • A high level of professionalism and comfort working with key people and businesses across Sydney
  • Networking skills
  • Ability to cold call prospective internship sites and develop a rapport
  • Research skills to find new internship sites
  • Strong attention to detail
  • The ability to work well independently as well as across departments

In addition to the academic programming, CAPA also provides housing, internships, co-curricular and extra-curricular activities, and a full 24-hour on-site support and advising programme. 

General Description

This job carries responsibility for supporting the Director of Program and Students Services and the Senior Program Coordinator with student support and administrative assistance for internship, and program related functions. The Student Services & Internship Assistant will provide services for 28 hours per week in the CAPA Dublin Center, plus on call coverage for CAPA’s 24/7 Student Emergency Phone.

Key Responsibilities

Internship Coordination:

  • Research and visit potential new Internship sites, secure a data base and coordinate placement of students.

  • Maintain overview and provide support of students’ performance during placement, i.e. midterm evaluations etc.

  • Strategic development of future internship sites

  • Assist Program Director & Director of Academic Affairs in vetting applications and checking documentation for upcoming semester.

  • Assist with student data management, including the organization, filing and maintenance of student passport/visa/documentation.

Program Support

  • Support the Director of Program and Student Services with all elements of program planning and implementation.

  • Assist with event planning specifically, arrival and departure events, mid-semester dinners, My Global City events, and accompany students on field trips and other celebrations which may fall outside of normal office hours.

  • Contribute to program-specific weekly emails to all students with detailed information regarding program updates and general announcements.

  • Provide support to visiting faculty, including organizing field studies for individual programs, making bookings, and maintaining program-related communications to students and faculty.

  • Create and maintain field trip-related documents for students and faculty.

  • Create welcome packs for visiting faculty.

Student Service Support and Advising

  • Play a very active role in the arrival and induction period for students. This includes airport transfers and housing check-ins, leading walking tours, delivering academic and general orientation sessions, attending arrival receptions and dinners, and giving welcome speeches to students and faculty when required.
  • In Collaboration with the Director of Program and Student Services, respond to student queries and problems as they arise; and utilize internal and external support services when necessary.
  • Be available on the CAPA emergency phone number on a rotational basis with the Senior Program Coordinator, providing 24/7 support when on-call and assisting students in the event of emergency situations, in accordance with CAPA emergency phone guidelines regarding responding, escalating and reporting.

Skills and Experience

Required:

  • Bachelor’s Degree or equivalency
  • Strong administrative skills & Attention to detail
  • Strong Communication Skills
  • Highly developed communication and presentation skills with experience in public speaking
  • Confidence to manage, and the ability to remain calm, in challenging situations
  • Excellent organizational and time management skills
  • Strong IT skills

Preferred: Prior experience working with US university student.

Hours

This is a part-time permanent position (28 hrs/weekly). Due to the nature of this role and the study abroad field, additional time beyond regular office hours and weekends are to be expected.
