General Description
CAPA is seeking a focused and detail-oriented Billing Specialist to handle our student and university accounts as well as to provide support to other team members in our global offices. This is a Boston-based position and a great opportunity for anyone who is eager to start their career in finance and accounting.
 
Key Responsibilities
 
Billing Duties:
  • Create and bill invoices to universities and students.
  • Communicate and request approval from Program Management before sending any invoices.
  • Maintain individual and group billing tracker.
  • Make outbound collection phone calls and follow up with e-mail messages to collect past due payments in a proactive manner.
  • Document client communications and subsequent actions, maintaining a continuously updated tracking system.
  • Provide updated payment and billing status to management on a weekly basis.
  • Answer and address university/student inquiries and issues in a timely manner.
  • Prepare checks for deposit, e-mail deposit report, and make bank deposit daily.
  • Monitor WIRE payment and update tracker and NetSuite for payment received daily.
  • E-mail payment receipts to students and universities upon receipt.
  • Follow up on outstanding invoices based on due dates.
  • Bill for Housing Deposit via credit card.
  • Process refundable housing deposit once the program is completed.
  • Enter all credit card payments in NetSuite financial system and update tracker for payment received.
  • Refund credit request on a weekly basis and update NetSuite for refunds.
  • Nurture and maintain positive student and university relationships.

Other duties:

  • Responsible for writing and collecting all payment agreements from students.
  • Collect and update tracker for Financial Aid Disbursement Forms.
  • Contact university financial aid offices to determine flexibility re: disbursement date.
  • Contact students for gap payment in order to collect postdated checks.
  • Mail checks once signature is approved and file related paperwork weekly.
  • Support the Finance department and operations staff as needed.

Skills and Experience:

Required

  • BA/BS degree. Accounting/finance background preferred.
  • Exceptional customer service experience (internal and external).
  • Excellent verbal and written communication skills.
  • Strong organization skills and attention to detail.
  • Ability to successfully juggle multiple projects simultaneously, work under tight deadlines and adapt a flexible approach to meet the needs of the business.
  • Flexibility with regards to job duties and the ability to learn and apply new concepts and tasks.
  • Ability to work well independently as well as across departments.
  • Ability to accept feedback and direction but also to learn and contribute to the big picture.
  • Ability to keep all financial data confidential.

Preferred

  • Study abroad experience is a strong plus.
  • Proficiency working with Microsoft Office and NetSuite is highly desired.
Hours of Work
This is a full-time role with an ideal start date of January/February 2019. Standard hours are 9:00 AM to 5:30 PM, Monday to Friday. Due to the nature of the study abroad field, additional time beyond regular office hours is to be expected on occasion in this role.

General Description
CAPA is currently seeking a Marketing Fulfillment Assistant to provide support to the Marketing team based at our headquarters in Boston. The MFA will also work with staff from other internal departments to ensure the successful completion of assigned job duties. This is a temporary, part time position (20 hours per week) ideally from January 22 to March 15, 2019.
 
Key Responsibilities
  • Provide shipping support to the Marketing team
  • Proactively support a variety of special projects, maintain deadlines, and track and report progress
  • Handle incoming inquiries, calls, correspondence, and other demands
  • Other assigned duties as necessary

Skills and Experience

Required
  • Experience with data entry
  • Experience with packing and shipping
  • Strong customer service skills (including on the phone and in person)
  • Strong organizational skills
  • Ability to follow instructions and work independently
  • Strong attention to accuracy and detail
  • Proficiency using Excel

Preferred

  • Previous experience in marketing, study abroad, or a general interest in international education is a plus!
  • College students and recent graduates are encouraged to apply.

Summary
CAPA is one of the leading and most respected organisations for internships abroad.  A CAPA internship (work placement) is a unique opportunity for American students to gain a competitive edge by getting hands-on experience in one of the world’s leading cities.  Internships can be in any field, depending on the student’s career and academic interests. The internship division organises and monitors hundreds of placements at the Sydney Centre. As an Internships Coordinator, you will act as the primary contact for internship services and for students interning with professional businesses in Sydney.
 
Essential Duties and Responsibilitie
  • To research, develop and monitor internship sites/work placements for our students at organisations and businesses throughout Sydney.
  • To work directly with businesses and organisations to help them understand the benefits of a CAPA intern and to educate them on their responsibilities in regard to the placement.
  • To assist senior staff in the continued development of the internships department’s working practices.
  • To provide student support services and internship advising.
  • To lead on internal and external internship projects.
  • To assist with the arrival and orientation of incoming interns, provide follow-up supervision and act as an on-site advisor for issues relating to student internships.
  • To liaise with our US administration office during pre-departure and create thorough and accurate pre-departure information for students.
  • To maintain intern and site databases to a high level of accuracy.
  • To attend CAPA events such as arrival and departure parties, mid-term dinners, and special CAPA events.
  • To assist with other administrative tasks within the office and across departments as required.
  • This role will also be cross trained to assist the department of program and student services during busy times; this will involve further student care and advising as well as administration. Support may include, but not be limited to: pre-arrival academic and program preparation, arrival services, orientations (program or academic), event management, classroom equipment support, bookings and transport logistics. Support for the academic department or the office as a whole may also be a part of the role as required.
  • To carry an emergency mobile phone outside of office hours on a one-week basis within a rota with other members of staff.  Full training and backup resources will be provided.

Qualifications

Required:
  • Bachelor’s degree
  • Minimum three year’s work experience in an office environment
  • Excellent communication and customer service skills
  • A high level of professionalism and comfort working with key people in businesses across Sydney
  • Strong networking skills
  • Ability to cold call prospective internship sites and develop a rapport
  • Research skills to find new internship sites
  • Strong attention to detail
  • The ability to work well independently as well as across departments
  • Ability to coach and mentor students
  • A high level of proficiency in computer software particularly Microsoft Office, Word and Excel
  • An aptitude for working with databases or CRM systems
  • Flexibility in terms of working hours and job duties
  • The legal right to work in Australia is required
Preferred:
  • Experience working with university students
  • Knowledge of the US education system
Hours of Work:
This is a full-time role.  Weekend and evening work is sometimes required, and flexibility with hours is a must.
