General Description
The Executive Assistant to the President/CEO will provide high quality executive administration and personal support to the President/CEO. Key responsibilities will span communications, general administration, calendar management, corporate event management, internal and external public relations, board relations, and special projects. CAPA is seeking a “right-hand” partner who is strategic, thoughtful, tech-savvy, and able to work collaboratively across all global departments in support of the organization and its leadership. This person must be flexible, selfmotivated and action-oriented, with exceptional communication and interpersonal skills, and a commitment to excellence. The ideal candidate will bring a strong background in supporting Csuite executives, complex event and project management, flexibility with time and responsibilities, enthusiasm working in a fast-moving, growth environment, and be comfortable with change.
 
Key Responsibilities
Administrative Assistance to the President & CEO:
  • Manage a broad variety of administrative tasks for the President & CEO, addressing all incoming inquiries, calls, correspondence, and other demands for the President/CEO’s time as appropriate.
  • Draft and/or edit correspondence (letters, memos, forms, etc.), speeches, and presentations on behalf of the President/CEO.
  • Prepare, organize and manage a wide variety of sensitive corporate documents including spreadsheets and reports.
  • Manage the President/CEO’s extremely complex calendar of meetings and detailed travel/lodging plans, itineraries, and arrangements, including overseeing all executive travel and time off requests.
  • Schedule and prepare agendas and other relevant materials for meetings that the President/CEO attends. Take detailed minutes highlighting key points, identifying, tracking and reporting on progress of action items.
  • Manage and track President/CEO’s budget, expense reports (including executive team’s) and spending. Liaise with Finance department as necessary.
  • Manage CAPA corporate flat in London, including scheduling guests and liaising with real estate management company.
  • Act as liaison between the President/CEO and management, outside vendors, advisors and customers.
  • Participate in projects involving research and development pertaining to the market-place and CAPA’s product development as required.
  • Prioritize conflicting needs and proactively manage a variety of special projects to maintain deadlines, and track and report progress, following-through to successful completion, often with deadline pressures.

Board Support and Liaison

  • Serves as the President's administrative liaison to CAPA’s board of directors.
  • Schedule and organize all Board of Advisors meetings, arranging travel, accommodations, detailed itineraries, reports, and payments.

Event Management

  • Manage CAPA corporate and VIP events in conjunction with the Marketing department, including hotel bookings, arranging food and hospitality, and following up on any outstanding items.
  • Manage CAPA philanthropy and charity work. Organize fundraising events, social events and all logistics related to the Office of the President’s charity work.

Personal Assistance to the President & CEO

  • Support the President/CEO with personal matters to enable his focus on company priorities. Manage daily personal tasks, including running errands, some gift shopping, scheduling personal appointments, home project management and repairs, occasional pet pick up-drop off, and other personal assistance responsibilities as assigned. Must be extremely flexible, resourceful, and highly-trustworthy as the role comes with access to confidential information

Skills and Experience

  • Minimum of a Bachelor’s degree, Masters degree preferred.
  • Minimum of 5 years of direct executive support at the senior management level: Owner/Founder, VP or Partner, preferably at owner-managed, mid-sized company.
  • Superior verbal and written communication skills, including excellent spelling, proofreading and editing skills.
  • Previous experience managing executive agenda, travel and related duties.
  • Proven experience in a fast-paced, demanding entrepreneurial environment
  • Demonstrated advanced proficiency in Microsoft Office (Outlook, Word, Excel and PowerPoint, Prezi or similar).
  • Proven experience communicating effectively with all levels within and outside the organization. Ability to handle situations discreetly, diplomatically, ethically, and professionally.
  • Self-directed with the ability to integrate information quickly, independently research information needed to achieve outcomes and be productive with minimal supervision.
  • Excellent organizational skills and strong ability to prioritize multiple tasks and special projects.
  • Demonstrated ability to take initiative, anticipate needs and exercise independent/sound judgment.
  • Aptitude towards executing responsibilities with a sense of urgency and follow-through.
  • Readiness to assist with the President/CEO’s personal errands and to be responsive outside of regular business hours when necessary.
  • Ability to work to deadlines and adapt a flexible approach to meet the needs of the business.
  • Prior experience in international business or study abroad is a major plus.
Hours

This is a full-time position. Standard work schedule is 37.5 hours per week, 9:00 to 5:30, Monday to Friday. Due to the nature of this role and the study abroad field, additional time beyond regular office hours and weekends are to be expected.

General Description

The Institutional Relations Manager (IRM) is a sales role responsible for business development as well as for maintaining and growing existing institutional partner relationships within the Mid-Atlantic Region of the US, specifically including, but not limited to, the states of Pennsylvania, Maryland, District of Columbia, Delaware, Virginia, and West Virginia. Ideally, the IRM is based out of their home office within this assigned region.

In addition to cultivating new relationships with universities and colleges, the IRM works with CAPA’s current partners to develop new business streams by approving new CAPA programs, developing custom programs, and increasing student enrollments.

The ideal candidate will be a target-driven strategic thinker who is highly self-motivated and able to collaborate and function as a productive team member across departments. This position reports to the Regional Manager of Institutional Relations.

Key Responsibilities
  • Assess business opportunities, establish goals, and take ownership for growth within your assigned region.
  • Develop and manage strategies to exceed growth targets.
  • Consult with U.S. universities and colleges to develop strategic partnerships to allow their students to access CAPA’s study and intern abroad programs.
  • Develop customized program opportunities with institutions in CAPA locations, utilizing extensive knowledge of best practices and expertise in academics, internships, and student services.
  • Attend study abroad fairs and related university events to generate leads to hit enrollment targets.
  • Develop, establish, and maintain relationships with study abroad professionals, administrators, and faculty at partner institutions.
  • Raise brand awareness by meeting with current and prospective partners, presenting papers and participating in sessions at national and regional conferences.
  • Work in conjunction with multiple departments within CAPA, both domestic and international, to support our current partnerships and to look for opportunities to generate new ones.
  • Assist partners by guiding their program development efforts, supporting recruitment, communicating CAPA updates, handling special requests, and providing creative solutions to complex programming.
  • Travel domestically 25-40% of the year, depending on peak seasons.

Skills and Experience

Required

  • Proven track record of success in sales, consistently exceeding targets
  • Ability to think strategically and problem solve
  • In-depth understanding of higher education landscape and best practices in education abroad
  • Exceptional communication and relationship-building skills with broad range of clientele
  • Strong written, verbal, and presentation skills
  • High level of competitive drive, self-motivation, initiative, enthusiasm, and flexibility
  • Strong customer service orientation
  • Comfortable working both independently and in a team environment, within and across departments to meet established target-based performance goals
  • Ability to manage multiple tasks in conjunction with a heavy travel schedule (40% during peak seasons)
  • Ability to network with peers and contacts to seek new relationship opportunities
  • Good working knowledge of Microsoft Office programs and comfortable working in a contact management system and other database applications, ideally Salesforce and HubSpot
  • Valid driver’s license and ability to drive long distances
  • BA/BS required

Preferred

  • Minimum of 5 years’ experience working in sales to universities
  • Experience working remotely
  • Close proximity to major airport due to travel requirements

General Description

CAPA is currently seeking an Academic Services Advisor to provide administrative support within the Academic Management Team (AMT) based in London. This position will report to the Associate Director for Academic Affairs in London. This is a job-share part-time position, 3 days per week.

Essential Duties and Responsibilities

  • Provide high-quality academic advising to all students, especially those requiring additional support or special learning accommodations
  • Promote and administer student awards
  • Serve as primary administrator of local registry functions, including course registration, add/drop advising, and associated reporting
  • Maintain class attendance records and liaise with Student Services Advisor regarding absences due to illness
  • Facilitate student focus groups and other feedback forums
  • Prepare CAPA’s learning management system, CANVAS, for each term and provide support to students and faculty requiring assistance with CANVAS
  • Regularly review syllabi and CANVAS pages to ensure CAPA is not in breach of copyright law and prepare annual report for the Copyright Licensing Agency
  • Organize hospitality for academic site visits, including visits with CAPA’s Academic Advisory Board, and the Quality Assurance Agency for Higher Education
  • Undertake other tasks to support the AMT as required

Qualifications

  • A Bachelor’s degree in relevant field
  • Excellent organizational skills and attention to detail
  • Ability to work independently, whilst simultaneously working as a part of a team
  • Excellent interpersonal skills
  • Ability to multi-task and work well under pressure
  • A high level of proficiency in computer software particularly Microsoft Office, Word and Excel, as well as Salesforce and CANVAS
  • Solid working knowledge of educational technology is preferred
  • The established legal right to work in the UK

Hours of Work

This is a job-share position, 3 days per week. Standard hours are 09:00 to 17:30, Monday to Friday.  Due to the nature of the study abroad field, additional time beyond regular office hours and work on weekends and bank holidays is to be expected in this role.
