General Description
CAPA is currently seeking an Academic Services Advisor to provide administrative support within the Academic Management Team (AMT) based in London. This position will report to the Associate Director for Academic Affairs in London. This is a job-share fixed-term position, 3 days per week from mid-Mary 2019 to December 2019 in the first instance.
 
Essential Duties and Responsibilities
  • Provide high-quality academic advising to all students, especially those requiring additional support or special learning accommodations
  • Promote and administer student awards
  • Serve as primary administrator of local registry functions, including course registration, add/drop advising, and associated reporting
  • Maintain class attendance records and liaise with Student Services Advisor regarding absences due to illness
  • Facilitate student focus groups and other feedback forums
  • Prepare CAPA’s learning management system, CANVAS, for each term and provide support to students and faculty requiring assistance with CANVAS
  • Regularly review syllabi and CANVAS pages to ensure CAPA is not in breach of copyright law and prepare annual report for the Copyright Licensing Agency
  • Organise hospitality for academic site visits, including visits with CAPA’s Academic Advisory Board, and the Quality Assurance Agency for Higher Education
  • Undertake other tasks to support the AMT as required

Skills and Experience

  • A Bachelor’s degree in relevant field
  • Excellent organizational skills and attention to detail
  • Ability to work independently, whilst simultaneously working as a part of a team
  • Excellent interpersonal skills
  • Ability to multi-task and work well under pressure
  • A high level of proficiency in computer software particularly Microsoft Office, Word and Excel, as well as Salesforce and CANVAS
  • Solid working knowledge of educational technology is preferred

Hours of Work

This is a job-share position, 3 days per week. Standard hours are 09:00 to 17:30, Monday to Friday. Due to the nature of the study abroad field, additional time beyond regular office hours and work on weekends and bank holidays is to be expected in this role.

General Description
CAPA is seeking an Associate Director of Academic Affairs (Maternity Cover) to drive administration of CAPA’s academic programs in London. This position will report to the Vice President of Academic Affairs based in the US. This full-time maternity cover position will last from May 2019 to June 2020.
 
Key Responsibilities
  • Oversee the operational responsibilities of a busy academic affairs department which serves about 1,000 students each year, working with more than 30 highly qualified instructors from a wide variety of disciplines
  • Manage two junior staff members who provide frontline assistance to faculty and students
  • Lead curriculum planning and development efforts relating to the CAPA London Program
  • Promote CAPA’s Globally Networked Learning objectives, optimizing use of technology via CANVAS/LMS 
  • In collaboration with colleagues, manage quality assurance measures, including but not limited to course evaluations, faculty self-assessment, peer-review, and QAA reporting
  • Participate in international academic initiatives, including along with academic leadership from other CAPA centres worldwide
  • Monitor academic program spending across several budgets
  • Facilitate the fulfilment of partnership agreements, including agreements with local universities, as well as universities based in the US
  • Ensure integrity of academic archives and other documents shared across the organization
  • Ensure all registrar and copyright compliance requirements are administered across the academic affairs team
  • Manage and support student advising and faculty assistance
  • Lead and oversee the design and implementation of co-curricular learning opportunities
  • Teach as a part of the CAPA London Program (optional)
  • Contribute to new academic affairs projects as they arise

Qualifications

  • A Master’s degree in a relevant field, PhD preferred
  • Proven experience in academic management and/or higher education administration
  • Excellent organizational skills and attention to detail

The CAPA Sydney programme is based in Ultimo on the campus of TAFE Sydney and near the University of Technology, Sydney. Students have the opportunity to enroll in CAPA Sydney courses for a semester (US calendar) or a shorter-term summer program. CAPA contracts local Australian faculty to provide degree level instruction in a variety of subjects; academic credit is granted by the student’s US institution. In addition to the academic programming, CAPA also provides housing, internships, co-curricular and extra-curricular activities, and a full 24-hour on-site support and advising programme. CAPA Sydney currently has a team of five staff and hosts approximately 60- 150 students each term.
 
General Description
CAPA is currently seeking a Director of Student and Program Services for its Sydney Program. Reporting to the Vice President of Global Operations based in London, this role will have overall responsibility for all non-academic areas of CAPA’s programming in Sydney. The role will directly manage program services and logistics, local financial matters and student care, as well as having management responsibilities for the Sydney centre and staff.
 
The two key aspects of the Sydney programs for which the Director will be responsible are Program and Student Services and Internships. Program and student services involve the care and support of CAPA’s students living and studying with CAPA Sydney, including health and safety, housing, educational excursions and events outside of the classroom. CAPA also researches, develops and places a large percentage of the overall student population into part-time unpaid internships/work placements for academic credit.
 
The role requires an effective manager with leadership skills, a hands-on and student-focused approach, and the ability to act strategically to ensure students receive the quality of support and guidance required to achieve a meaningful learning abroad experience.
 
Key Responsibilities
  • Oversee quality assurance for Sydney programming: carefully monitor all feedback, develop and implement strategic quality initiatives to improve results. Areas of oversight include: student advising, student accommodation, external tour operators, informational materials, student activities and orientations, and internships provision.
  • Overall responsibility for the Sydney Centre including the quality, security, health and safety and upkeep of the facilities. This includes supervision of staff responsible for IT and liaising with TAFE administration.
  • Manage staff, provide guidance and resources to help staff meet their departmental and individual goals. Provide leadership and ongoing training.
  • Provide high quality student support, manage disciplinary matters and student crises.
  • Act as a key member of CAPA’s crisis management team. CAPA provides 24/7 emergency support to all Sydney students through an emergency phone on-call system and acts in accordance with explicit protocols. The Director would be part of the on call rota with other members of the Sydney team, provide emergency phone training to new staff, set the on call rota, and provide 24/7 back up support to staff carrying the emergency phone. While the Director would need to be able to problem-solve in a variety of situations, CAPA’s crisis management committee has created explicit protocols, ensures staff receive appropriate training, and provides on-call support to the Director.
  • Liaise with CAPA’s homestay and apartment housing providers to secure adequate space, negotiate favourable rates. Oversee final student housing placements and roommate assignments and ensure a high level of quality throughout the term.
  • Seek out, develop and maintain new housing partnerships, excursion providers, classroom facilities etc. as required.
  • Provide operational support and direction to the internships department that sources and matches students with appropriate internships sites. Collaborate with CAPA’s VP of Global Internships based in London, who will have dotted line management of the internships team, to develop strategies for the growth of sustainable internship opportunities.
  • Attend evening and weekend social events for student arrivals and departures; manage and participate in student orientation sessions.
  • Welcome representatives from existing and prospective institutional partners to the CAPA Sydney Program and arrange site visits as required.
  • Collaborate closely with the Program Management, Institutional Relations, Marketing and Finance teams in CAPA’s Boston headquarters, and participate in occasional cross-location committees/focus groups and in the formulation of new programs in Sydney.
  • Oversee program and overhead budgets to ensure financial targets are met for individual programs and for the department. Make payments for the CAPA program and provide basic monthly reports on spending to the CAPA finance department in Boston.
  • Regularly review, update and implement the standard operating procedures.

Skills and Experience

Required:

  • Three years’ experience minimum and a proven track record successfully managing and motivating a team
  • Bachelor’s degree
  • Exceptional customer service skills
  • Highly developed communication and presentation skills with experience in public speaking
  • Ability to build and maintain successful relationships at all levels
  • Confidence to manage, and the ability to remain calm, in challenging situations
  • Excellent organizational and time management skills
  • Experience working with budgets and basic financial reporting
  • Proven negotiating skills
  • Strong basic computer skills (proficiency in Microsoft Office Suite)
  • The existing legal right to permanently work in Australia

Preferred:

  • Experience advising and providing support to students in all non-academic areas
  • Experience within higher education administration or overseas student care
  • Experience and/or training in crisis management, mental heath or health and safety
  • Advanced degree

Summary
CAPA is one of the leading and most respected organisations for internships abroad.  A CAPA internship (work placement) is a unique opportunity for American students to gain a competitive edge by getting hands-on experience in one of the world’s leading cities.  Internships can be in any field, depending on the student’s career and academic interests. The internship division organises and monitors hundreds of placements at the Sydney Centre. As an Internships Coordinator, you will act as the primary contact for internship services and for students interning with professional businesses in Sydney.
 
Essential Duties and Responsibilitie
  • To research, develop and monitor internship sites/work placements for our students at organisations and businesses throughout Sydney.
  • To work directly with businesses and organisations to help them understand the benefits of a CAPA intern and to educate them on their responsibilities in regard to the placement.
  • To assist senior staff in the continued development of the internships department’s working practices.
  • To provide student support services and internship advising.
  • To lead on internal and external internship projects.
  • To assist with the arrival and orientation of incoming interns, provide follow-up supervision and act as an on-site advisor for issues relating to student internships.
  • To liaise with our US administration office during pre-departure and create thorough and accurate pre-departure information for students.
  • To maintain intern and site databases to a high level of accuracy.
  • To attend CAPA events such as arrival and departure parties, mid-term dinners, and special CAPA events.
  • To assist with other administrative tasks within the office and across departments as required.
  • This role will also be cross trained to assist the department of program and student services during busy times; this will involve further student care and advising as well as administration. Support may include, but not be limited to: pre-arrival academic and program preparation, arrival services, orientations (program or academic), event management, classroom equipment support, bookings and transport logistics. Support for the academic department or the office as a whole may also be a part of the role as required.
  • To carry an emergency mobile phone outside of office hours on a one-week basis within a rota with other members of staff.  Full training and backup resources will be provided.

Qualifications

Required:
  • Bachelor’s degree
