General Description

The Global Education Specialist and Registrar provides a variety of support services to the Global Academic Management Team (GAMT) and CAPA faculty, as well as ongoing training and updates to the marketing, institutional relations, admissions, and program management teams. This position is responsible for all aspects of student records, class enrollment and academic administration. The following are areas of responsibility for this position.

Key Responsibilities

  • Learning and Teaching Initiatives
    • Support development and implementation of student learning and development outcomes, globally networked learning, My Global Education, global seminars, global institutes, and global internship program
    • Train and communicate regularly with US-based marketing, institutional relations, admissions, and program management staff on these topics and initiatives
    • Provide data collection from course evaluations, end-of-term evaluation, and other surveys as needed
  • Global Technology
    • Support faculty, staff, and students in Canvas learning management system training and troubleshooting through helpline and training materials
    • Work closely with the Director of Academic Technology and Globally Networked Learning and other academic staff to implement globally networked learning and Canvas-based learning activities
  • SOR and LOR
    • Transmit new and revised course syllabi to SORs for approval; maintain updates
    • Maintain relationships with appropriate offices at SUNY Oswego
    • Request LOR access for new faculty and students
    • Verify LOR invoices
  • Course Offerings and Enrollments
    • Maintain updated records and publications of course offerings, descriptions, syllabi, and historical data on enrollments
    • Update courses on the company website
    • Participate in enrollment committee with academic directors to provide necessary data to determine course selection, promotion, scheduling, and enrollments
    • Collect course preferences and advise students on courses in their location including language requirements, textbooks, and cultural considerations
  • Grades and Transcripts
    • Manage grade reporting transfer from Canvas to Salesforce
    • Send grades to institutions and schools of record
    • Respond to student and alumni grade and transcript requests and queries
    • Foster effective working relationships with schools of record, offices of international programs, and registrar offices
  • Global Academic Management Team
    • o Provide administrative support to the Vice President for Academic Affairs
    • Schedule monthly team meetings
    • Record meetings via video conferencing and take notes during live meetings
    • Liaise between academic directors and US-based staff
    • Support academic directors as needed
  • Academic Advisory Board
    • Assist Vice President for Academic Affairs and AAB Chair in communications with the board
    • Organize and support meetings with advisory board including annual event in Boston and mid-year virtual meeting
    • Arrange dinner/social event, assist with travel arrangements and process travel reimbursements
    • Maintain updated AAB SOP

Skills and Experience

  • 2-4 years’ administrative experience, preferably in educational administration or a related area
  • Exceptional written, verbal and presentation skills
  • Strong data analysis and reporting skills
  • Highly organized with a keen attention to detail
  • Prior experience working with university administrators, faculty and students
  • Desire to work in a team environment both in and out of your department
  • Enthusiastic, always willing to lend a helping hand, and to adapt quickly to change
  • Experience with Salesforce or another data management system
  • Experience with Canvas or another learning management system
  • Proficiency in use of Microsoft Word, Excel, Power Point
  • BA/BS degree required; MA/MS preferred

Hours

This is a full-time position. Standard work schedule is 37.5 hours per week, 9:00 to 5:30, Monday to Friday. Due to the nature of sales and the study abroad field, additional time beyond regular office hours and work on weekends and holidays is to be expected in this role.

General Description

The Institutional Relations Manager (IRM) is a sales role focused on business development as well as maintaining and growing existing institutional partner relationships within a region designated by CAPA. We are seeking someone ideally based in Boston or within driving distance of the Chicago or Austin area. If outside of Massachusetts, a remote work arrangement is required.  

The IRM will work with CAPA’s current partners to approve CAPA programs, recruit students to CAPA programs, and to develop custom and partnership programs at our CAPA centers. The IRM will also be responsible for cultivating new institutional partners and helping institutions build a learning abroad strategy for their faculty and students with CAPA.

The ideal candidate will be a target-driven strategic thinker who is highly self-motivated but also able to collaborate and function as a productive team member across departments. This position reports to the Vice President of Institutional Relations and Marketing.

Key Responsibilities

  • Consult with U.S. colleges and universities to create partnership and affiliate agreements with CAPA through our semester and short-term summer study abroad and internship programs.
  • Create customized program opportunities with institutions at our Global City center locations, utilizing extensive knowledge and expertise in academics, internships, service-learning, and student services.
  • Support our partner institutions including occasionally attending study abroad fairs and related university events to promote CAPA’s programs and institutional services.
  • Develop, establish, and maintain relationships with study abroad professionals, administrators, and faculty at partner institutions.
  • Attend and present papers and sessions at national and regional conferences.
  • Work in conjunction with multiple departments within CAPA, both domestic and international, to support our current partnerships and to look for opportunities to generate new ones.
  • Assist partners by guiding their program development efforts, supporting recruitment, communicating CAPA updates, handling special requests, and providing creative solutions to complex programming.
  • Travel domestically 25-40% of the year, depending on peak seasons. 

Skills and Experience

Required

  • Proven track record of success in sales arena, consistently exceeding targets
  • Exceptional communication and relationship-building skills
  • High level of competitive drive, self-motivation, enthusiasm, and flexibility
  • Strong customer service orientation
  • Comfortable working both independently and in a team environment, within and across departments to meet established target-based performance goals
  • Ability to manage multiple tasks in conjunction with a heavy travel schedule (40% during peak seasons)
  • Strong written, verbal, and presentation skills
  • Ability to network with peers and contacts to seek new relationship opportunities
  • Good working knowledge of Microsoft Office programs and comfortable working in a contact management system and other database applications, ideally Salesforce
  • Driver’s license and ability to drive long distances
  • BA/BS required

Preferred

  • Minimum of 5 years’ working in sales to universities
  • MA preferred
  • Close proximity to major airport due to travel requirements

Hours

General Description
The Recruitment Advisor is primarily a sales role and is responsible for recruiting students from CAPA’s leads to apply for CAPA programs worldwide. This position will report to the Director of Enrollment and Advising Services.
 
Key Responsibilities
• Recruiting students who have expressed interest in attending a CAPA program by making phone calls and sending email messages in congruence with our communication plan.
• Providing guidance and advice to students on program selection and answering program-specific, country-specific, and other questions, such as those regarding credit transfer, scholarships, and financial aid.
• Managing and creating content for email communications plans based on collaboration with international staff.
• Meeting daily phone call and outreach targets.
• Providing a high level of customer service support to students helping them prepare for their time abroad.
• Maintaining student leads in Salesforce database, and tracking communications through it.
• Other duties assigned.

Summary

CAPA is currently seeking an Academic Services Advisor to provide administrative support within the Academic Management Team (AMT) based in London. This position will report to the Associate Director for Academic Affairs in London. This is a fixed-term maternity cover position for 9 months. 

Essential Duties and Responsibilities

  • To provide high-quality academic advising to all students, especially those requiring additional support or special learning accommodations
  • To promote and administer student awards
  • To serve as primary administrator of local registry functions, including course registration, add/drop advising, and associated reporting
  • To maintain class attendance records and liaise with Student Services Advisor regarding absences due to illness
  • To facilitate student focus groups and other feedback forums
  • To prepare CAPA’s learning management system, CANVAS, for each term and provide support to students and faculty requiring assistance with CANVAS
  • To regularly review syllabi and CANVAS pages to ensure CAPA is not in breach of copyright law and prepare annual report for the Copyright Licensing Agency
  • To organise hospitality for academic site visits, including visits with CAPA’s Academic Advisory Board, and the Quality Assurance Agency for Higher Education
  • To undertake other tasks to support the AMT as required
Qualifications
  • A Bachelor’s degree in relevant field
  • Excellent organizational skills and attention to detail
  • Ability to work independently, whilst simultaneously working as a part of a team
  • Excellent interpersonal skills
  • Ability to multi-task and work well under pressure
  • A high level of proficiency in computer software particularly Microsoft Office, Word and Excel, as well as SalesForce and CANVAS
  • Solid working knowledge of educational technology is preferred
  • The established legal right to work in the UK

Hours

This is a full-time role. Standard hours are 09:00 to 17:30, Monday to Friday. Due to the nature of the study abroad field, additional time beyond regular office hours and work on weekends and bank holidays is to be expected in this role
