General Description

The primary focus of the Alumni and Institutional Relations Coordinator is overseeing the CAPA Alumni Program, ensuring the smooth-running success of our global workshops and conferences, and supporting the Institutional Relations team.

Coordinate the CAPA Alumni Program by:

  • Coordinating communications with Alumni and inviting students to the program
  • Updating the Alumni portal and keeping relevant with job opportunities and resources
  • Coordinating Alumni events
  • Assisting Marketing to create communication plans to keep Alumni engaged

Support Institutional Relations Management Team by:

  • Assisting Institutional Relations Managers with general administrative and collateral needs, including liaising with Marketing for materials updates, ordering and distributing new materials as available, and completing fair shipments via Salesforce and UPS
  • Coordinating contract signatures, updating records in Salesforce, and filing documents appropriately
  • Attending assigned study abroad fairs, conferences, and campus visits as a CAPA representative
  • Taking and distributing minutes for team meetings
  • Other projects as assigned by the Vice President of Institutional Relations & Marketing and the Assistant Manager of Institutional Relations

Coordinate Global Education Workshops by:

  • Liaising with Vice President of Institutional Relations & Marketing and Vice President of Global Program Services to establish dates, goals, etc. for workshops
  • Assisting Marketing to develop promotional materials, Hubspot messaging, CAPA web page, and registration form
  • Working with committee to develop agenda
  • Coordinating registration and billing process between Finance and registrants
  • Serving as main point of contact for participants and providing pre-departure advising and support, including via customized microsite
  • Mailing materials to overseas center and pre-departure pack to home institution of participants
  • Creating and coordinating Survey Monkey evaluation following completion of workshop

Coordinate CAPA’s Presence at Conferences by:

  • Assisting Marketing to ensure CAPA presence is on-brand and dynamic
  • Coordinating onsite setup, scheduling, filming, materials needs, and tear down
  • Ordering furniture, carpet, etc. via conference providers
  • Working with Marketing to ensure all in-house materials, giveaways, etc. are mailed in advance
  • Organize any sponsorships and lead the team planning any receptions

Qualifications:

Required

  • Minimum two year’s work experience
  • Bachelor’s degree
  • Exceptional verbal and written communication skills
  • Excellent customer service and networking skills
  • Strong organization skills and attention to detail
  • Demonstrated ability to juggle multiple projects simultaneously and work under tight deadlines
  • Proficiency in computer software particularly Microsoft Office, Word and Excel
  • Aptitude for working with databases or CRM systems
  • Basic experience with updating website, blog, etc.
  • Ability to work well independently as well as in a team environment
  • Highly collaborative and able to identify areas for additional collaboration across departments

Preferred

  • Study abroad experience or interest in the field of international education

Hours of Work

This is a full-time role. Standard office hours are between 9:00am - 5:30pm, Monday – Friday. Weekend and evening work is sometimes required.

General Description

As CAPA’s Junior Video Producer you’ll work closely with the Marketing team to help develop and implement video campaigns, and create video content for our various social platforms, email marketing efforts, and other promotional tactics. The video content you’ll create will be short-format, informative, and inspiring, and will accurately portray the CAPA study abroad experience. You will also be sourcing video footage and rights managed music, as needed.

This is a part-time assignment for the duration of either six months or within the Spring 2018 academic semester, with the possibility to be extended. The ideal candidate is an entry-level video producer and/or a graduate student with an academic focus in film or related field. This role is based in Boston and reports to the Marketing Director.

Qualifications:

Required

• Minimum 2 years of video creation/production experience (must have portfolio of work)
• Creative thinker
• High proficiency with Macs and Adobe Creative Suite, particularly Premiere Pro
• Have a good sense of video storytelling and production techniques
• Understanding of video design for various platforms, specifically mobile • Highly organized, able to keep clean project files
• Have a pulse on the ever-changing social landscape and video production trends to effectively promote CAPA programs to student and institutional audiences
• Must be collaborative and work efficiently in a team setting
• Must be comfortable shooting video footage of students and staff for creating “how to” videos, storytelling videos, and other promotional content
• Passion for film/video/motion graphics

Preferred

• Have an interest in exploring different cultures, international education and/or have studied abroad
• Working knowledge of Adobe After Effects
• Working knowledge of Adobe Media Encoder
• Some graphic design capabilities

Hours of Work
This is a part-time role (minimum of 10 hours per week). Standard office hours are between 9:00am - 5:30pm, Monday – Friday. Your work hours will be flexible between this timeframe.

Summary

As a CAPA Program Manager, you will act as the primary pre-departure contact for students enrolling on CAPA’s customized university programs. You will also provide recruitment, enrollment, and advising support to CAPA’s partnering college and university study abroad administrators who send groups of students on CAPA’s Global Cities programs worldwide. You will work closely with program developers and on site staff to communicate about contracted services and program details. You will assist in facilitating contracted program components within the parameters of the established budget. You will work closely with visiting faculty leading customized programs on all aspects of the program including the management of their own and their student’s expectations about the program experience.

Key Responsibilities 

Conversion Management

  • Manage relationships and communication with the study abroad administrators and visiting faculty on topics including recruitment strategy, student enrollments, advising questions and concerns, and student issues that arise while a student is on a CAPA Program.
  • Work in partnership with the CAPA Institutional Relations team and Student Admissions team to monitor partnering institutions enrollment numbers and provide feedback on where additional recruitment support and campus visits may be useful to reach and exceed targeted enrollment numbers per term
  • Collaborate with the CAPA marketing department to develop and maintain program/university specific marketing materials, customized websites, lead generating communication plans and other collateral.
  • Guide prospective students from partnering colleges and universities through custom program enrollment process.
  • Ensure all necessary program materials are complete and ensure each student meets the required program admissions requirements.
  • Build and maintain university specific online application portals.
  • Finance Support

Pre-Departure Advising

  • Provide guidance and support on the international internship application process for programs that include this experiential component.
  • Advise students on visa requirements and the visa application process.
  • Provide a high level of customer service support to our students, answering any pre-departure questions they might have via phone and email to prepare them for their time abroad.
  • Establish and maintain pre-departure communication plan and timeline for all students admitted on customized programs as well as faculty leading programs.
  • Manage program related concerns that arise from students, university administrators and the parents of participants.
  • Work with other members of the pre-departure services team to update, develop, and create new program advising materials as necessary.
  • Hold scheduled meetings with the overseas coordinators to discuss and receive updates on student applicants and relevant services such as housing, academics, and internships

Crisis Management

  • Manage relationships and communication with the study abroad administrators at partnering colleges and universities on topics including overseas crises, and student issues that arise while a student is on a CAPA Program.
  • Provide emergency support to callers on the emergency mobile (weekly rotation).
  • Participate in annual crisis management and emotional first aid training.

Finance Support

  • Work closely with finance department to confirm individual student payments and communicate any nuances to billing process.
  • Provide students with necessary information related to financial aid and financial resources that are available to students to help them pay for their program costs.
  • Work closely with the student accounts department to review group and individual payment activity.
  • Provide oversight of program budgets and manage in tandem with international teams.

Qualifications

Required:

  • Strong organizational, communication, leadership, and customer service skills
  • Demonstrated ability to work with individuals of diverse socioeconomic, cultural, sexual orientation, disability, racial and/or ethnic backgrounds
  • Strong written, verbal and presentation skills
  • Prior experience with working with university students and faculty a plus
  • Prior experience working within budgeted parameters
  • Desire to work in a team environment both in and out of your department
  • Enthusiastic, outgoing personality; always willing to lend a helping hand
  • BA/BS degree required
  • Some domestic travel required, driver’s license preferred

Hours of Work:

This is a full-time role. Standard schedule is 37.5 hours per week, 9:00 to 5:30, Monday to Friday. Due to the nature of the study abroad field, additional time beyond regular office hours and work on weekends and holidays is to be expected in this role.

Summary

CAPA is one of the leading and most respected organisations for internships abroad.  A CAPA internship (work placement) is a unique opportunity for American students to gain a competitive edge by getting hands-on experience in one of the world’s leading cities.  Internships can be in any field, depending on the student’s career and academic interests. The internship division organizes and monitors hundreds of placements at the Sydney Centre. As a Senior Internships Coordinator, you will act as the primary contact for internship services and for students interning with professional businesses in Sydney.

Essential Duties and Responsibilities

  • To research, develop and monitor internship sites/work placements for our students at organizations and businesses throughout Sydney.
  • To work directly with businesses and organisations to help them understand the benefits of a CAPA intern and to educate them on their responsibilities in regard to the placement.
  • To assist in the continued strategic development of the Internships department’s working practices.
  • To provide leadership and guidance to CAPA internship staff on student support services and internship advising.
  • To train staff on operational systems and processes.
  • To lead on internal and external Internship projects.
  • To assist with the arrival and orientation of incoming interns, provide follow-up supervision and act as an on-site advisor for issues relating to student internships.
  • To liaise with our US administration office during pre-departure and create thorough and accurate pre-departure information for students.
  • To maintain intern and site databases to a high level of accuracy.
  • To attend CAPA events such as arrival and departure parties, mid-term dinners, and special CAPA events,
  • To assist with other administrative tasks within the office and across departments as required.
  • This role will also be cross trained to assist the department of student affairs at busy times; this will involve further student care and advising as well as administration.
  • To carry an emergency mobile phone outside of office hours on a one-week basis approximately every 6 weeks in rotation with other members of staff.  Full training and backup resources will be provided.

Qualifications

Required:

Bachelor’s degree
