General Description
CAPA is seeking a temporary full-time Business Office and HR Assistant from October 1 to December 31, 2018 to serve as the first point of contact for the its global headquarters in Boston and to provide diverse administrative support for all general activities affecting the corporate office and the Human Resources Department. Under the supervision of the Vice President of Human Resources, this role identifies ways to support and improve office and HR operations to maintain a highly professional, efficient, and healthy office environment. The ideal candidate enjoys working both independently and collaboratively with people in a fast-paced environment with the flexibility to move quickly and effectively between tasks. This is an entry-level position enabling the right person to launch an exciting career in international education, human resources, or another business-related field. Potential for extension/conversion to regular full-time employment upon evaluation at the end of the assignment.
 

Key Responsibilities

General office support:

  • Oversees main office administration and reception, maintaining the overall office appearance and providing a welcoming, well-functioning environment for employees and visitors
  • Answers main business phone line, greets guests at front desk, and coordinates visitors, routing people to the appropriate area
  • Distributes mail to all departments, accepting daily deliveries and assisting the Marketing and Sales departments with large shipments on occasion
  • Monitors and maintains inventory of office and kitchen supplies
  • Coordinate with IT to maintain office equipment including scheduling repairs and preventive maintenance with outside vendors
  • Maintains CAPA facilities, serving as the point person on office keys/fobs, recycling program, facilities and maintenance issues (security alarms, kitchen appliances, carpet cleaning, etc.), and projects liaising with local building management
 

HR support:

  • Maintains HR intranet content management and creation, including updating company phone lists and organizational charts
  • Assists with the recruitment and hiring processes: posts job openings on CAPA website and various job boards; maintains jobs inbox, applications, and files; schedules candidate interviews, appointments and meetings
  • Prepares new employee orientation materials, collects all relevant documents, processes employment-related transactions, and assists with onboarding activities (e.g., office tours)
  • Supports HR with the administration of the CAPA Wellness Plan and other company benefits, including answering staff inquiries and assisting with data entry and reports
  • Facilitates general office communications for internal audiences, keeping staff informed of relevant events and news relating to birthdays, anniversaries, and other staff announcements
  • Assists HR team in preparing internal documents, letters, presentations; collecting and researching supporting materials as necessary
  • Assists with the logistics for training programs and other HR and special office events
  • Provides detail-oriented support in the administration and processing of organizational programs and initiatives within established policies, procedures and guidelines
  • Helps to foster CAPA culture and values by ensuring open communication, smooth office procedures, and the organized physical appearance of the office
  • Assists other departments and takes on additional administrative duties and projects as assigned. Provides backup administrative support to the Executive Assistant to the President & CEO as assigned. Maintains employee confidentiality throughout appropriate business processes.

Skills and Experience

Required:

  • High school education or equivalent experience with wide-ranging knowledge of office procedures. A minimum of two years’ administrative, office, or related experience.
  • Exceptional interpersonal, verbal and written communication skills
  • Ability to provide the highest level of customer service
  • Excellent organizational skills with the ability to prioritize and plan work activities to manage time efficiently successfully multitask
  • High level of self-motivation, enthusiasm, and flexibility with the ability to complete tasks with minimal direction
  • Ability to work collaboratively with a diversity of people across multiple time zones and international locations
  • Strong problem-solving skills, including being able to identify and resolve problems in a timely manner; uses discretion and knows who to go to resolve issues and complete tasks. Requires general understanding of own work and how it impacts operations outside own department.
  • Must be accurate, thorough, and able to follow directions and to monitor a high volume of work for quality
  • Demonstrated ability to take initiative, anticipate needs, and exercise independent/sound judgment
  • Ability to meet deadlines and adapt a flexible approach to meet the needs of the business
  • Ability to effectively read and interpret information, gather and analyze data
  • Demonstrated proficiency in Microsoft Office (Outlook, Word, Excel and PowerPoint)

Hours
This is a temporary full-time assignment. Standard work schedule is 37.5 hours per week, 9:00 to 5:30, Monday to Friday. Due to the nature of the study abroad field, additional time beyond regular office hours is to be expected on occasion in this role.

General Description
CAPA is seeking an exceptional individual to provide maternity cover for our Director of Academic Technology and Globally Networked Learning (GNL), reporting to the Vice President of Academic Affairs, and working collaboratively within the Information Technology department. The Director will support faculty development in teaching online, blended, and GNL-enhanced courses and programs by determining the needs of students and faculty; developing and adapting teaching materials and collaborating with faculty in the development of blended and GNL-enhanced programs; evaluating courses and programs; learning and developing e-learning and GNL pedagogies; and coaching faculty using new technologies including CAPA’s Learning Management System (Canvas), associated collaborative tools and synchronous team-teaching video conferencing hardware and software in the CAPA Global Classrooms.
 
The incumbent will be first and foremost a natural collaborator with teaching and academic technology experience, working in groups and with individual faculty remotely and globally, to facilitate the migration of traditionally taught programs into a Canvas environment and to further develop them into blended and GNL-enhanced programs.
 
This part-time (20-30 hours per week) maternity cover will last from December 1, 2018-January 2020.
 
Key Responsibilities:
 
Academic Technology
  • Lead agenda setting for weekly IT staff meetings via video conferencing for coordination with IT Operations and Administrative IT systems such as Salesforce.com. Ensure academic technology needs are tracked and fulfilled through collaboration with relevant technical team members and manage communication of technical updates to leaders of other departments.
  • Drive all Academic Technology procurement and development, including the design and deployment of CAPA Global Classrooms to ensure that in concept and execution these facilities empower students and faculty to meet CAPA student learning and development objectives (SLDOs).
  • Lead the development and support of academic technology platforms, including CAPA’s learning management system (Canvas) and academic video platform (Kaltura), in enabling the GNL through CAPA Talks and other video content relevant to globally networked learning
  • Oversee international program for academic video capture, editing and distribution.
  • Collaborate on the development of resources and materials that support faculty teaching. online in Canvas, associated collaborative tools and GNL-enhanced team teaching and maintain and develop a knowledge base of templates, designs, FAQs etc.
Globally Networked Learning
  • Serve as a member of the Global Academic Management Team (GAMT) and attend monthly meetings, providing GNL development updates.
  • Collaborate with colleagues in Marketing and Institutional Relations departments in effort to produce materials to promote initiatives in GNL and academic technology.
  • Review and collaborate with faculty members on curricular design and the adaptation of traditional teaching materials and expansion of new online, blended and GNL-enhanced course designs and teaching materials in Canvas prior to start of the semester.
  • Assist faculty to integrate video, video conferencing, recording, and editing into their program designs; evaluate use of video conferencing by faculty for synchronous and asynchronous GNL teaching and make recommendations for changes.
  • Develop and model new e-learning and GNL pedagogies using emerging technologies and help faculty use them in their courses; develop and lead workshops on learning pedagogies for faculty.
  • Regularly meet online and occasionally visit academic staff and faculty in the centres to promote the use of technologies to improve and develop blended, online and GNL-enhanced teaching and learning, coordinate activities such as workshops and conferences to achieve this; participate in department meetings, etc.
  • Provide GNL expertise on special projects, including new product development, lecture capture and learning management applications.
  • Develop custom curriculum plans for programs of study, working closely with department chairs and program directors; design the delivery of curriculum content, including syllabi, study units and examinations within individual courses; work individually with faculty and/or program coordinators to provide guidance on the effective use of online tools.
  • Manage administration of GNL activities, and related faculty and student support.
  • Participate in special projects and work on committees as requested.
  • Perform other duties as assigned.

Skills and Experience:

Required:

  • Advanced degree and a minimum of three years of teaching experience, of which at least one year must include using a Learning Management System, preferably Canvas, and preferably at least one year of team teaching.
  • Demonstrable experience in using, supporting and training others in the use of academic technology platforms. Specific experience in Canvas, Kaltura, BlueJeans, and Salesforce a plus.
  • Excellent presentation skills a must.
  • Ability to effectively and productively work remotely with faculty with a variety of experiences and approaches towards blended and GNL teaching.
  • Ability to manage and balance multiple projects with competing priorities and deadlines.
  • Ability to learn and adapt to new e-learning software tools, as needed.
  • Ability to work in a fast-paced and rapidly changing environment.
  • Up to 10% travel, domestic and international as needed.
Preferred (but not required):
  • Advanced degree in relevant discipline (Instructional Design, Instructional Technology, Education Technology).
  • Experience using and coaching others to use video conferencing hardware and software (and other associated synchronous collaboration tools) for GNL team teaching.
Hours of Work:
This is a maternity cover, part-time position, ranging 20-30 hours per week, until January 2020. Due to the nature of this role, evening and weekend work is sometimes required, and flexibility is a must.
 
Location:
CAPA is headquartered in Boston, and has centre locations in Barcelona, Buenos Aires, Dublin, Florence, London, Shanghai, and Sydney. This postholder would work from at least one of our operational centres, but as with hours, some degree of flexibility is possible dependent upon the candidate’s level of experience and other circumstances. CAPA will only consider candidates with the established legal right to work in any of our locations.

Summary
CAPA is one of the leading and most respected organisations for internships abroad.  A CAPA internship (work placement) is a unique opportunity for American students to gain a competitive edge by getting hands-on experience in one of the world’s leading cities.  Internships can be in any field, depending on the student’s career and academic interests. The internship division organises and monitors hundreds of placements at the Sydney Centre. As an Internships Coordinator, you will act as the primary contact for internship services and for students interning with professional businesses in Sydney.
 
Essential Duties and Responsibilitie
  • To research, develop and monitor internship sites/work placements for our students at organisations and businesses throughout Sydney.
  • To work directly with businesses and organisations to help them understand the benefits of a CAPA intern and to educate them on their responsibilities in regard to the placement.
  • To assist senior staff in the continued development of the internships department’s working practices.
  • To provide student support services and internship advising.
  • To lead on internal and external internship projects.
  • To assist with the arrival and orientation of incoming interns, provide follow-up supervision and act as an on-site advisor for issues relating to student internships.
  • To liaise with our US administration office during pre-departure and create thorough and accurate pre-departure information for students.
  • To maintain intern and site databases to a high level of accuracy.
  • To attend CAPA events such as arrival and departure parties, mid-term dinners, and special CAPA events.
  • To assist with other administrative tasks within the office and across departments as required.
  • This role will also be cross trained to assist the department of program and student services during busy times; this will involve further student care and advising as well as administration. Support may include, but not be limited to: pre-arrival academic and program preparation, arrival services, orientations (program or academic), event management, classroom equipment support, bookings and transport logistics. Support for the academic department or the office as a whole may also be a part of the role as required.
  • To carry an emergency mobile phone outside of office hours on a one-week basis within a rota with other members of staff.  Full training and backup resources will be provided.

Qualifications

Required:
  • Bachelor’s degree
  • Minimum three year’s work experience in an office environment
